CON CHAIRMAN: -- Wayne Brown
VICE CHAIR: -- open
This person is responsible for all aspects of the convention. This person oversees the budget and makes sure all the bills associatedwith the convention are paid. Coordinates with the other membersof the committee to make sure everything flows smoothly.
HOTEL LIASON: Wayne
Responsible for making sure that the hotel knows the needs of the convention. This includes negotiation of the contract, and the rooms needed for programming, events, and guests, and the date of the convention. This is also includes the use of and audio / video equipment. Basically you will be responsible for all negotiations with the hotel. You are also required to come upwith a budget for materials you may need, and costs the hotel will becharging and to give it to the con chairman.
ASSISTANT: -- open
The person is required to develop panels and events for the convention. This person will develop a list of panels and the like to give to the Guest Liaison, who then forwards them to the guests at the convention. They will then come up with a list of program items for the convention. You are also required to come up with a budget for materials you may need, and to give it to the con chairman for approval.
ART SHOW DIRECTOR: --
The person in this position is required to come up with a list of artists and to contact them for artwork for our art show. This person will beresponsible for paying the artists and all items involving the art show. This includes the setup of the art show flats, paperwork, and the art auction. You are also required to come up with a budget for materials you may need and to give it to the con chairman. Auctioneer for the auction is also under the control of the Art Show director.
DEALERS ROOM LIASON: -- Wayne
This person is responsible for the layout of the dealers’ room. This person is responsible for gathering dealers for the dealers’ room. All aspects of the dealers’ room will be under this persons control. This person interacts with the dealers before, during, and after the convention. You will be responsible for setting the opening and closing times of the room.This person is also to come up with a budget for the materials that will beneeded to run the dealers room before and during the convention.
REGISTRATION: -- open.
This person is responsible for keeping a database or list of all the attendees at our convention. This also includes a list of which attendees are staff, gopher, committee, guest, or program participant. This person will also be responsible for handing out ribbons. You are to come up with a budget of how much it will cost you to run registration before and during the convention. This includes the cost of badge holders, ribbons, and any other materials that might be needed to run registration. You will also be responsible for contacting the people who pre-register for thecon and keeping them informed.
GUEST LIASON: -- Frank Glover
This person is responsible for all dealings with our Guests of Honor, and the program participants. This person is responsible for making sure that all the guests and program participants aren’t scheduled too heavily during the convention. This person will work along with the Programming Director to make this happen. You are responsible for all contact with our guests, and program participants. This includes making sure they have hotel accommodations that are acceptable, making sure they arrive at the con on time, and making sure that they show up to and know where they are supposed to be during the convention. This will include their transportation to and from the convention. You must submit a budget to the con chairman for expenses for the guests, and running the department.
CON SUITE DIRECTOR: -- Ann G.
This person is responsible for supplying food and drink for the con suite. This person may also be responsible for supplying refreshments for the meet the pros party also. All events that run out of the con suite will beunder this persons’ control. You will also be required to providea budget for refreshments, and running this dept.
PUBLICITY DIRECTOR: -- open
This person is responsible for getting the word out to people about the convention. This will include mailing fliers to other conventions, fliers in local stores, and local advertising. This person is responsible for coming up with designs for fliers and posters, and getting them produced. You will also work closely with the programming and guests departments to get progress reports made up to mail out and leave in stores. You are to prepare a budget for this departments expenses also.
SECURITY: -- Dorsai
Required to make sure that Registration, the Art Show, and Dealer’s room are secure. Also responsible keeping order, handling disturbances, and the like.
VIDEO ROOM DIRECTOR: -- Paul
This person is responsible for preparing a listing and programming the video room. This will include preparing a schedule of videos to be shown duringthe weekend that any of our guests or program participants have worked on. You will also be responsible for the procurement of equipment to be used duringthe convention. You will need to have a budget for the running of this department.
GOPHER / STAFF WRANGLER: position
This person is responsible for getting people to help out as staff and gophers during the convention. This person is the contact person for all things concerning the staffing of the convention. This person will be responsible for keeping track of the hours that gophers work for the weekend. This person will also be responsible for any premiums for gophers and staff. You will allocate people to the various departments during the convention. You will need to have a budget for the running of this department.
PUBLICATIONS: -- open
You will work closely with a lot of the other departments in the creation of the program book, fliers, posters, badges, progress reports, any printing and publications will run through you. You will need to have a budget for the running of this department.
WEBMASTER: -- TBA
Promotes the club and the convention by demonstrating what a fun & active club & con we are. (sorta like an online bid party).
Corresponds with Link Sites, Search Engines, Other Clubs, Cons, & Webmasters to negotiate link exchanges.
